The schedule details page is where you add, edit and delete your company’s upcoming shifts. You are able to add multiple types of shifts which include:
Single shifts
Repeating shifts (daily, weekly, monthly and yearly)
Unassigned shifts
One cleaner shifts
Multiple cleaner shifts

Once a shift has been created if a user logs in to a shift you are able to see the time entry when you select the shift. Once a time entry is added to a shift a historical shift is created within the historical shift report. Any past shifts and shifts with a time entry associated are updated within the historical shift report. |
Who can make schedule updates?
Managers and supervisors who have permission to scheduling are able to update your company’s schedules.
Instructions
How to add an Upcoming Shift
Log in to the Swept Desktop App.
In the left-hand menu click Scheduling.
Click the arrow on the Manage Scheduling button and select New Shift.

In order to add an upcoming schedule the following information is required:
Location
Start Date/Time
End Date/Time
Depending on the type of shift you would like to create you can add the following information:
Label
Click in the Label field to add up to three labels.
Begin typing your label. If it is a new label you will see your label name below in green with (new label) beside it. If you would like to add it you can click on the new label or press enter on your keyboard. If it is an existing label you will see the option begin to appear from a list of labels and you are able to select your already existing label.
If you added a label in error you can move your mouse over the purple label and you will see an X. Click the X to remove the label.
Please note once a label is added to the label list it cannot be deleted.
Repeat Shift
Check Repeat Shift if you would like to add a repeating shift. If you cannot select the option you need to enter your location, start date/time and end date/time first.
A Repeating Shift Configuration modal will appear. You can update the following information:
Repeats Every:
Week - Create a series of shifts that repeats every week (or specify the number of weeks) on a specific day of the week.
Day - Create a series of shifts that repeats daily, including weekends.
Month - Create a series of shifts that repeats monthly on a specific date or day of a specific week.
Year - Create a series of shifts that repeats on the same day each year.
Ends:
Never - The repeating series never ends. You will need to modify the shift if you would like to stop the repeating series.
After occurrences - Add the number of occurrences this repeating shift should have.
Ends on - Select a specific date this repeating series should end.
Click Ok to save your repeating shift settings.
Once you save your settings you will see information appear about your repeating shift.
Assigned Cleaner
If you do not add a cleaner you will create an unassigned shift.
To add a cleaner click + Add Cleaner.
An Add cleaner(s) to your shift modal will appear. You will see your cleaners separated into the following groups:
Available - If the cleaner has no shifts at another location during the same or overlapping time they will appear here.
Scheduled at another location - If the cleaner is assigned to another shift during the same or overlapping time you will see them under this group. If they are already assigned to this location during the same or overlapping time they will be crossed out and cannot be selected.
Beside each cleaner that is approved to the selected location, you will see a shield icon. You are still able to add cleaners not approved to the location as needed.
You can use the search at the top to search for a specific cleaner from the list.
Check the cleaner or cleaners you would like to add to the shift and click Select.
When you add, edit or delete a shift the users associated to the shift change will get a schedule push notification to their phone if they’re logged in to the app and alert within Swept+.
Editing an Upcoming Shift
Log in to the Swept Desktop App.
In the left-hand menu click Scheduling.
Click on the blue Manage Scheduling button to be taken to your upcoming schedule list.
Use the filters at the top to narrow down your search.
If the shift you would like to edit is before the current time or has a time entry associated you will need to edit the shift through the historical shift report.
Click on the line of the shift you want to edit.
Make your changes to your shift. Click Save.
If it is a single shift the changes will be made to that one shift.
If it is a repeating shift when you save you will see two options:
Only this event - This will edit only this shift in the repeating series. Any edits to this shift in the future will only happen to this shift. If you edit the repeating series by using This and future events it will skip this shift. If you delete the repeating series to include This and future events and this is in the future then it will include this shift in the deletion.
This and future events - This will edit the current and future shifts in the repeating series. This does not include any shifts that were edited using Only this event.
When you add, edit or delete a shift the users associated to the shift change will get a schedule push notification to their phone if they’re logged in to the app and alert within Swept+.
Deleting an Upcoming Shift
Log in to the Swept Desktop App.
In the left-hand menu click Scheduling.
Click on the blue Manage Scheduling button to be taken to your upcoming schedule list.
Use the filters at the top to narrow down your search.
If the shift you would like to delete is before the current time or has a time entry associated you will need to delete the shift through the historical shift report.
Click on the line of the shift you want to delete.
Click on the arrow in the blue Save button and select Delete.
If it is a single shift confirm the deletion to delete the upcoming shift.
If it is a repeating shift you will see two options:
Only this event - This option will only delete this one shift in the repeating series.
This and future events - This will delete the current and future shifts in the repeating series. This includes any shifts that were edited using Only this event. Any historical shifts will remain.
When you add, edit or delete a shift the users associated to the shift change will get a schedule push notification to their phone if they’re logged in to the app and alert within Swept+.
Errors
Select a location to enable
The location field is mandatory in Swept and must be selected first.
Select a date to enable
In order to add a time you must first select a date.
Date cannot be a past date/time.
Shifts in the past must be added or edited through the Historical Shift Report.
Shift duration must be less than 24 hours.
Shifts must be less than 24 hours long.
Outside timeframe
The cleaner times within a scheduled shift must be within the shift window selected at the top of the schedule page.
Date cannot be later than end date/time./Date cannot be earlier than start date/time.
The start date/time of a schedule must be before the end date/time.
