Summary

One of the most important features within Swept+ is the ability to log in to a location and track the work. The location log-in widget allows the user to complete many functions from logging in and out of their shift, reporting their mood, and adding notes and problems for their manager.

Who can see the location log-in widget?

The location log-in widget appears for supervisors and cleaners. As , as they are the users that are able to log in to shifts.

Where can I find the location log-in widget?

The location log-in widget will always appear on the top of the location details page. It will look different depending on whether the user is logged in to a location or not. If the user is logged in to a location they will also see the location log-in widget above the navigation bar on every page of the application making it easy to always see the status of their shift.

When should I use the location log-in widget?

Users should use the requested supply location log-in widget when they are running low on supplies at a location. From here they can see if the supply they are out of has been recently requested or request it if they need more. on-site and ready to work a shift.

Location Log-in Widget Details

When you are looking at viewing the details of a location you will see the requested supplies widget. Depending on the location and what supplies have been assigned the widget will appear in one of three states.

No assigned supplies

the location login widget will be shown at the top of the page if the user is able to login to cleanings. The widget will be in a different state depending on your logged-in status. Swept+ will only allow a user to be logged in to one shift at a time, so if the user is already logged into a shift the location log-in widget will be shown in a different state to prevent a double login.

  • Not logged-in - The widget will be shown in this state if the location does not have any supplies assigned to it. Supplies can be assigned to a location using the Swept web app. No open supply requests user is not currently logged in to a shift

  • Logged-in to the location you are viewing - The widget will be shown in this state if there are no open supply requests for a particular location.

  • Recently requested supplies - If the location has open supply requests the three most recent supply requests will be shown on the widget.

List items for recently requested supplies include the supply’s name when the request was submitted and the number of items requested.

Logging into a location

Requesting supplies should ideally be done when you notice you are running low on supplies to give the manager time to order and deliver the supplies to the location, but can also be done if you are completely out of supplies. When you request a supply managers and supervisors assigned to the location will receive a supply request letting them know they need to deliver supplies to the location.

To request supplies select the “Request supplies” button on the requested supplies widget. This will bring you to the supplies page for the location. You will land on the New Request tab. This tab displays the supplies that are available to request at the location.

Note

A supply will not be available to request if it has already been requested. It will not show on the requested tab for any users in order to eliminate the possibility of duplicate requests until the open request has been completed.

Viewing the status of your shift

Logging out of a location

Each supply will show the date it was last restocked and two input fields. One for the amount you currently have remaining and one for the amount you think you need. Upon selecting each of the fields a keyboard will appear allowing you to enter a number. You can continue down the list of supplies until you have requested all the supplies you need. When you are done select Submit Request.

  • If there are still supplies available to request you will be shown a banner that indicates your request has been submitted and the supply you requested will be removed from the list and show on the requested tab.

  • If there are no more supplies available to request the list of supplies will be removed and you will see a message indicating there are no more supplies available to request.

There are a few rules when requesting supplies to be aware of:

  • Only whole numbers can be used to request supplies

  • Amount needed must be greater than 0

  • Amount remaining can be left at 0

  • Numbers enters can not exceed 4 digits. You cannot request more than 9999 of one item.

You can see a full list of requested supplies by selecting the requested tab. Each supply that has been requested will appear here along with the date it was requested, the amount remaining at the time of the request and the amount needed. Supply requests will be automatically removed from the requested tab when they are completed, making them available to be requested again.

  • the user is currently logged in to the location they are viewing

  • Logged-in to another location - The widget will be shown in this state if the user is viewing the location details page of a location different than the one they are logged in to.

Logging into a location

When the user is on-site and ready to log in to their shift they can do so using the location log-in widget. First, go the to location you would like to log in to. The location log-in widget will show at the top of the page. The workflow will be slightly different depending on if the user has a shift scheduled at the location or not.

If your company uses the scheduling feature within Swept+ users can also log directly into your shift from the Today Schedule tab. This shortcut will save time and make sure the time logged is associated with the correct shift. Check out the Swept+ Today Schedule support article for more information!

No scheduled shift

If there is no shift scheduled at the location the play button can be selected on the location log-in widget to log in to an unscheduled shift. The login modal will then be shown asking the user to confirm they would like to log in.

Selecting the Login button will log the user into the shift and return them to the location details page. The location log-in widget will now be shown in the logged-in state. If the cancel button on the login modal is selected the user will not be logged into the shift and will be returned to the location details page with the location log-in widget in its original state.

Scheduled shifts

If the user has shifts scheduled at the location the flow to log in will be a little different.

In this case, go to the location details page and select the play button on the location log-in widget. The shift selection modal will then be shown. This modal will display up to five shifts that are either assigned to the person using Swept+ or unassigned and occur 48 hours before or after the current time. Swept+ will select the most likely shift as the preferred shift and mark it with a clock icon. If the log-in button is selected without selecting a shift the preferred shift will be automatically selected.

If the preferred shift is incorrect the user can choose another shift listed or can choose to work an unplanned shift. Once the proper shift is selected, hit the log-in button to start the shift and be returned to the location details page showing the location log-in widget in the logged-in state. Here the date and time of the shift selected will be shown.

Regardless of the path taken to log in Swept+ will check the user's location at the time of login. This information will be used to add location information to the time entry and ensure the user is within any mandatory geo-fences that have been set up.

Now that you are logged into a location you will see the location log in the widget above the navigation bar on many pages throughout the app so you can easily view the status of your shift and report problems as you work.

Logging out of a location

The location login widget is also used to log out of a location. If the user is currently logged in to a shift the location log-in widget will show in its logged-in state on all pages. The location log-in widget will have a stop symbol instead of a play symbol if the user is currently logged in.

Selecting the stop button on the location log-in widget will open the shift details modal. The shift details modal provides information about the shift and allows the user to rate how they feel about the cleaning, and report problems.

Problems can be added throughout the shift and saved by selecting the Save button at the bottom of the modal. They will be submitted as part of the time entry when the user chooses to log out.

When the user is ready to log out they simply choose how they felt about the cleaning and then hit Log out. If the company has mood reporting turned on the user must select a mood before logging out of the shift. Swept + will then check the user's location to fill out the location information on the time entry and ensure they are within any mandatory geo-fences that have been set up. Once the logout is complete the location login widget will be returned to its original state.
