Checklist templates make creating your location checklists quick and easy. Set-up templates for areas you commonly clean and then add them in one click to each of your location checklists. Putting a little effort into setting up your templates properly will save you time when creating location checklists. Templates can have multiple areas to be cleaned, and each area can have multiple items within it. Adding, removing, and reordering areas and items is a breeze thanks to our new drag and drop interface.

Important Notes

There are several ways you can choose to set up your templates. Here are some things to keep in mind when setting up your checklist templates:

  • All areas and items in the template will be added to the checklist at once

  • You can add multiple templates to the same checklist

  • You can add previously created templates to a new template you are creating

  • Editing a template will not change any checklists that use it.

  • Changing the items and areas from a template once it is added to a location will not change the template or any of the other location checklists that use it.

Best Practices

When setting you your checklist templates it is best to keep each template as small and discreet as possible. Make sure the areas and items you add to each template will be common to all the locations you clean. You can always adjust the items and areas once you add your template to a location checklists to match that specific location. Let’s take a look at how to set-up a template for a bathroom for example.

Common Bathroom Areas and Items

  • Area 1 - Stall

    • Item - Stall doors

    • Item - Empty trash bin

    • Item - Clean toilet

    • Item - Check & replace the toilet paper

  • Area 2 - Sinks and counters

    • Item - Check & replace soap

    • Item - Clean mirrors

    • Item - Wipe sinks

    • Item - Wipe counters

  • Area 3 - General

    • Item - Empty trash bins

    • Item - Check & replace paper towel

    • Item - Sweep floors

    • Item - Mop floors

In this example, this template could be added to a particular location checklist multiple times if there is more than one bathroom to be cleaned making it flexible and reusable across all your locations.

Checklist Template Examples

Here are some examples of how you can structure your checklist templates. Keep in mind that you can have as many templates as you would like, so you can combine all of these methods to make setting up your Location Checklists even easier.

Rooms

You can set-up templates for each type of room you clean, such as boardrooms, bathrooms, kitchens, etc. This approach will allow you to add as many rooms as you need to each Location Checklists. For example, if your location has several boardrooms, you can use the boardroom template and add it to your location checklist multiple times, renaming the areas with the specific room name.

Example rooms

  • Bathroom

  • Boardroom

  • Office

  • Kitchen

  • Lobby

  • Storage room

  • Hallway

Specific jobs

If you have specific jobs not part of a recurring cleaning shift that must be done you can set up a template for each job. These are generally jobs that have consistent areas and items but may need to be done at some or all of your locations.

Example Jobs

  • Window washing

  • Carpet cleaning

  • Party clean-up

  • Deep clean

Once you have these template set up you can create a checklist at each location you complete them at and let your cleaner know that if they are doing a window washing shift they should complete the corresponding checklist.

Specific tasks

Depending on how specific you would like to make your checklists you can separate out particular tasks into their own template. Using the bathroom example from above, you may choose to have a stall be its own template. This will allow you to match the number of stalls in a bathroom with areas on your location checklists to make sure each one gets thoroughly cleaned.

(warning) Be careful not to get too granular with your tasks. You don't want your cleaners to become overwhelmed with items to check. They may begin to check items without doing them if the process becomes too time-consuming.

Health check

The checklists feature can be used to confirm your cleaners are symptom-free during the pandemic. This is likely something that will need to be done at each location, so setting up a template makes sense.

We recommend creating a health check template and adding a detailed description to the template the outlines your expectations, such as “Before entering the location please complete the following health check confirming that you do not currently have any symptoms.”

You can then add items such as:

  • Do you currently have any symptoms? Such as fever, cough, etc.

  • Have you been in contact with anyone confirmed positive for Covid-19 in the last 14 days?

  • Have you travelled in the last 14 days?

  • Make sure you wear a mask!

or any other items required by your government officials.
